1. Information We Collect

  • Inquiry data: name, email, phone, WhatsApp, country, message, and the products you ask about.
  • Technical data: IP address, browser user-agent, pages viewed, referrer, time on site.
  • AI assistant transcripts: question + response pairs (used to improve recommendations).

2. How We Use Your Information

  • Respond to your inquiry with quotes, technical answers, or sales follow-up.
  • Improve product recommendations and search relevance.
  • Comply with legal obligations and resolve disputes.
  • We do NOT sell your personal data to third parties.

3. Data Retention

  • Inquiries: kept for 5 years for warranty and follow-up purposes.
  • AI conversation logs: 90 days, then anonymized.
  • Technical logs: 30 days.

4. Third-Party Processors

  • Tencent Cloud (Singapore) — hosting, storage, CDN.
  • Alibaba Cloud DashScope (Qwen LLM) — AI assistant. Inquiry messages may be sent for processing; PII (email/phone) is masked before sending.
  • Resend / SES — transactional email delivery.
  • Plausible Analytics — privacy-friendly visitor analytics (no cookies).

5. Your Rights (GDPR / PDPA)

  • Right to access your data (request a copy).
  • Right to correction (fix inaccurate data).
  • Right to deletion (be forgotten).
  • Right to data portability (export to another service).
  • To exercise these rights, email privacy@aseanmachine.com. We respond within 30 days.

6. Security

  • PII fields encrypted at rest using AES-256 with keys held in Tencent KMS.
  • All connections use TLS 1.3.
  • Access to backend systems requires 2FA and is fully audited.

7. International Transfers

  • Our database is hosted in Singapore. AI processing happens via Qwen API endpoints in Singapore (and may transit through Mainland China for the model provider). By using our services, you consent to these transfers.
